How to submit your works in DiVA

According to a decision by the Vice-Chancellor of the University (in Swedish only), it is mandatory for University researchers and employees to register their publications in the DiVA.

How to register a publication, with or without fulltext.

All registration is done in the same manner. Depending on the type of publication you wish to register adjustments are made to the registration form.


Before you begin, go to DiVA and search for your publication, to make sure it has not already been registered. 

Be sure to add your HH username in the field 'local user ID' and ORCID if you have one. This ensures that your publications can be extracted to other systems.

Import from Web of Science, PubMed, Libris, EndNote, BibTex etc.

  1. Login using your university username and password
  2. Choose 'Import references'
  3. Import your references
  4. Open up your imported publication and make sure to edit your affiliation and those of your co-authors to correspond with that which is visible in the publication.
  5. For fulltexts: uload your file in PDF-format and approve the license for electronic publishing
  6. Review all of your information and make sure everything is in order and choose 'submit'

Register publication from scratch

  1. Log in with your username and password provided by the University.
  2. Select 'Add publication/Upload files'
  3. Select publication type
  4. Fill in the information about your publication
  5. When publishing full text: upload the full text as a PDF and confirm electronic publication
  6. Check that the information is correct and click on 'Submit'

You can upload the fulltext for all kinds of scientific publications, journal articles, books, book chapters, reports etc. and make them freely available in DiVA.

It is important to check if the publisher allows you to submit your work in DiVA.

All items, except dissertations, are published directly even if there is a fulltext or other attachment.

For items with fulltext or other attachment only the metadata will be published. Publication of the file takes place only after it has been examined by the library.

Dissertations will not be visible until they are reviewed by the library.

We use record-locking which means that records that have undergone bibliographic control by the library are locked for editing.

If you want to modify an item that is already published, select 'Edit / Delete' item after you log in DiVA. Where are you looking forward line and can implement the changes.

You have the ability to change in the records that you have registered, and the lines where you are and where the author field, 'Local userID' is filled in with your username in the University's user directory (LDAP). Only administrators can modify the entries with uploaded the full texts or other attachments, doctoral theses, licentiate theses or student essays. Please contact DiVA helpdesk if you need to edit items you can not access.

All registered items can be found in DiVA. Upload a full-text becomes freely available in the DiVA but also through other search engines as OAIster, Google and Google Scholar. Anyone can download and read your publication at no cost, which can lead to increased use and increased citation.
